Camelot would annually employ an external company to archive the documentation produced during business activities. Because of fragile stability of the industry, Camelot was forced to order archiving services from different providers. Also, the employees of Camelot, responsible for this area, were changed. Consequently, Camelot’s “archives” were governed by accident. Attempts to access the information needed would result in effects that were not always reliable. Camelot lost control over the knowledge gathered in the “archive”. After 7 years of Camelot activity on the market, DOKUMENTACJA was asked to provide a solution and carried out the following repairs:
- the whole of the documentation stored in the archive was catalogued,
- unified document handling procedures were developed, taking into consideration the specific nature of the key operational areas of Camelot,
- all participants (Camelot employees) were trained in documentation archiving process,
- DOKUMENTACJA, acting under the authorization of Camelot management, took over the responsibility for maintaining the company’s archive and obtained the right to exercise control over the correctness of documentation handling and correctness of documents to be transferred to the company’s archive.
In effect, the competence and responsibility area was clearly defined!
